Class Summary

Job Description

  • May supervise staff to include: prioritizing and assigning work; conducting performance evaluations; ensuring staff are trained; ensuring that employees follow policies and procedures; maintaining a healthy and safe working environment; and, making hiring, termination, and disciplinary recommendations.

  • Serves as a lead to staff to include assigning and monitoring work and providing direction.

  • Provides administrative support, such as maintaining the department, director or manager, and employee schedules, coordinating meetings and agendas, making travel arrangements, editing and preparing newsletters, brochures and reports, researching legal or financial information, and providing related support.

  • Assists with developing and tracking budget and department information, such as recommending budget figures, maintaining balances, researching discrepancies, and preparing related financial reports.

Essential Duties

  • Processes incoming and outgoing purchase orders, vouchers, price agreements, payments, and petty cash disbursements.

  • Oversees the maintenance of the department's personnel files, such as verifying and entering timesheets, tracking performance evaluations, performing background checks, and related personnel information.

  • Assists in overseeing department programs by reviewing forms and documents for compliance with policies and procedures.

  • Performs basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail and entering data.

  • Assists with coordinating department activities, such as tracking work and change orders, relaying communications, researching information, and providing related support.

  • Serves as a liaison to other departments, prepares special reports, researches information, and maintains databases for several divisions or the department.

  • Assists with developing and implementing office related department policies and procedures.

  • Performs other duties of a similar nature or level.

Grade

The grade for this position is B23(1) .

Effective 4/11/2023, this position is eligible for the Employee Referral Program.

Minimum Qualifications

  • High School Diploma or G.E.D.;

  • One year of specialized or technical training in administrative support or related field

  • Four years of administrative support or related office experience

  • Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Licensing Requirements

  • Valid Driver's License from state of residency

  • Public safety background check to include motor vehicle histories, criminal and fingerprinting

Each department is run by a director who is charged with managing operations in a manner which stresses the County’s values.

In addition to the executive side of County government, certain services are provided through Constitutional officers and independent elected officials. These external offices are created by the Georgia Constitution or through state law. In Gwinnett, they include the Sheriff, Tax Commissioner, District Attorney, Solicitor, Probate Court Judge, and Chief Magistrate.
