Job Purpose

Reporting directly to the Vice President of Gas Operations & Programs, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Vice President of Gas Operations and Programs. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and meticulous organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Key Accountabilities

  • Extensive calendar management, including prioritizing and arranging meetings, workshops, appointments and conferences in the US or the UK.
  • Coordinate complex logistics for travel by developing itineraries, booking domestic and international flights and other transportation, arranging accommodation, and meeting coordination, and ensuring that all expense information is provided.
  • Reconcile monthly expenses using credit card statements.
  • Manage a wide range of administrative and executive and personal support related tasks, including drafting routine correspondence and organizing/maintaining files, etc.
  • Ensure the Vice President of Gas Operations & Programs is fully prepared and informed for all meetings, including pre-read materials relevant to each meeting.
  • Review monthly time entry for direct reports, ensuring that it is an accurate reflection of time for each team member before approval is made.
  • Maintain and manage confidential information which has been provided by email, by letter, by telephone or in person.
  • Organize, create and manage the organization structure charts using a variety of applications.
Qualifications

  • Relevant C-Suite level Executive Assistant or equivalent experience, bachelor's degree is preferred.
  • Ability to manage high levels of confidentiality and act as a trusted confidante.
  • Very well organized and on top of all relevant issues and matters at all times.
  • Ability to multi-task and work flexibly in a highly dynamic work environment.
  • Self-directed and self-motivated; able to work independently with little or no supervision.
  • Energetic and enthusiastic ambassador of the National Grid brand, particularly given the high level of interface with external visitors and external telephone calls.
  • Ability to work collaboratively, and to foster and promote a collaborative culture in Gas Operations and National Grid.
  • Focused, analytical and ability to think strategically and identify creative solutions.
  • Ability to build positive internal and external relationships at all levels * Strong event planning skills.
  • Strong computer skills in Office 365 and SharePoint and a willingness to be trained on new applications.

Salary - $60,000 - $70,000

This position has a career path which provides for advancement opportunities within and across bands as you develop and evolve in the position; gaining experience, expertise and acquiring and applying technical skills.
